Events Project Director

Ultimate responsibility in the eyes of the pharmaceutical client for organising and delivering multifaceted projects including meetings, webcasts, webinars, printed materials and online activities. Also, maintaining and building strong client relationships and managing the internal project teams.



  • Ensure all roles and responsibilities are clearly defined at the start of the project, and that this information is relayed to all members of the project team and the client.
  • At the start of each project lead client and team calls/meetings from scoping, assessment and consolidation of the project need up to the point at which the Account Manager will start to run the weekly calls
  • Be involved in all weekly client and project team calls/meetings throughout lifecycle of the project
  • Keep the client and local representatives abreast of their meetings
  • Develop strong client relationships throughout the lifecycle of the project including on-site at meetings
  • Speaker liaison, including commissioning, review of the speaker brief and maintaining relationships
  • Create client budgets as well as monitor and review the tracking and reconciled internal budgets.
  • Regularly update Senior Project Director/CSD and ensure financial information is circulated to team members where applicable
  • Ensure that any out of scope activities are charged back to the client and propose the amounts (documented in writing)
  • Track project timelines, ensuring that the project team is keeping both the client and the internal teams fully aware of project status throughout its lifecycle
  • Ensure that a project comes in on time and within budget
  • Identify and suggest to clients any appropriate amends to timelines or budget throughout the project lifecycle
  • Manage the promotional plan, and all the associated promotional materials to ensure that delegate numbers are tracking
  • Manage production and review the of all project materials including promotional items and on-site collateral
  • Assist the editorial Med Comms team in developing the agenda and KOL suggestions for any project
  • Oversee client approvals on Zinc/Veeva
  • Attend events and assist with the set-up as well as manage on-site venue contact, production teams, speakers and clients
  • Manage post-event processes with the client to ensure they are fully de-briefed and in tandem with the business development team, all new business opportunities explored
  • Work closely with the Senior Project Director/CSD and Business Development team to create new business opportunities with existing clients
  • Be involved in developing pitch presentations for new business with existing clients
  • Mentor and motivate the project teams to manage their work load and assist with training needs
  • Work with the Senior Project Director/CSD to ensure that the systems and processes are created and being followed
  • Inform the Senior Project Director/CSD of any concerns at any stage of the project lifecycle
  • Foster good working relationships with the wider team, e.g. editorial Med Comms and Business Development
  • Carry out any reasonable project work / ad hoc tasks as requested by direct line manager



  • Educated to degree level or equivalent
  • Previous experience working within either a medical communications/events agency or pharmaceutical events team
  • A minimum of 4 years’ experience at Account Manager level or equivalent

working within a team environment

  • Hands on experience of all aspects of running an event e.g. speaker/venue liaison, AV,

marketing printed collateral

  • Familiar managing multifaceted projects such as events, webcasts, printed materials and online activities
